Site Planning/Landscape Architectural Design: Scope of Services

DPS Design and Management's professional Landscape Architects and Designers are key to our creative solutions. We can assist you not only with site planning and conventional landscape design, but also with design and layout of hardscapes (driveway, sidewalks, swimming pool, fountains, decks, etc.) so that all the elements of your project merge into one complete thought. From initial concepts, to detailed development of these ideas and construction documentation for construction, through final implementation of the design efforts, DPS provides a thorough and seamless process of management- all the while maintaining the original project goals and objectives.

The Scope of Services for most project areas are organized into seven tasks:


Task One: Conceptual Design/ Site Planning

Based on the current program, DPS will work with the planning and design team to test the site and program to develop a Conceptual Master Development Plan for use in preparing the Schematic Design.

DPS will:

  • Review all pertinent codes, current entitlements, and conditions of approval, which may impact the site development concepts.
  • Prepare a Conceptual Design Plan, including illustrative sections and elevations (at their discretion) for presentation purposes.
  • Prepare image character boards or bound booklets in order to generate discussion and to convey the landscape design intent.
  • Attend meetings with the Client and other consultants to review the work.

Task Two: Schematic Landscape Design

Upon approval of a site plan by the Client and based upon the building footprint provided by the Architect, Consultant will prepare Schematic Design Plans.

DPS will:

  • Review of all pertinent codes, current entitlements, and conditions of approval, which have impact on the site development concepts.
  • Conceptual site grading and drainage for all areas outside the buildings including contouring of the land, landscape berms, walls, swales and drainage in hardscape areas.
  • Pedestrian and automobile paved areas with proposed materials and patterns.
  • Landscape Plan with identification of tree, shrub, groundcover, and turf areas, (but not specific types and quantities).
  • Conceptual landscape lighting for all major landscape areas on the property.
  • The Project Manager and Project Designer will attend project meetings with the Client. Should additional meetings be required, fees will be billed on a time and materials basis according to the most recent Consultant billing rates.

Task Three: Design Development

Upon approval by the Client of the schematic design and probable site construction cost, DPS will proceed with the preparation of Design Development drawings.

DPS will:

  • Develop plans, cross sections and elevations for pedestrian and special vehicular pavements, entries, site furnishings and other site elements that are a part of the proposed landscape development and not a part of building structures.
  • Site grading and drainage for all areas outside the building footprints including contouring, retaining structures, swales, flow lines and drainage devices. We will also indicate alignments, elevations, dimensions, materials and details for retaining or freestanding walls, steps, ramps, etc. We will ensure that grade transition between architectural floor elevations and exterior terrace elevations is compatible.
  • Design planting for all landscape areas which will show planting composition, plant species, locations and sizes of major planting features. Special attention will be given to ensure that views, solar orientation, erosion control, and snow storage are accommodated in the solution.
  • Select site development materials and prepare design development details.
  • Prepare outline specifications for the above-described landscape elements of the project.

Task Four: Construction Documents

Upon approval by the Client of the schematic design and probable site construction cost, DPS will proceed with the preparation of Design Development drawings.

DPS will:

Task Five: Bidding and Negotiation

Based on the Client’s approval of Construction Documents and of the latest opinion of probable construction cost, DPS shall assist the Client in obtaining bids or negotiated proposals. This work shall occur in the period prior to awarding a construction contract and after the completion of Construction Documents.

DPS will:

  • Assist the Client in pre-qualifying contractors for work designed by Consultant. A list of approved contractors for the disciplines utilized will be submitted to the Client prior to issuing Bid Documents.
  • Issue Bid Documents as an integral package with the Architectural Construction Documents.
  • Participate in one (1) Pre-Bid conference with bidders for work designed by Consultant or in conjunction with the Architectural Work.
  • Prepare addenda to the Construction Documents as clarification is required.
  • Review substitutions and alternatives as requested by the bidders and make recommendations to same.
  • Attend meetings with the low bidders on items designed by Consultant to review bids and understanding of the project scope.

Task Six: Construction Observation

DPS will make periodic visits to the site to become familiar with the progress and quality of construction and to determine if the construction of the landscape work is proceeding in accordance with DPS’ design intent and contract documents. During such visits and on the basis of observations while at the site, DPS will keep the Client informed of the progress of construction. DPS may recommend rejection of work to the Client if the contractor fails to conform to the contract documents.

Consultant will:

  • Attend construction meetings with Contractor and his subcontractors as part of the site visit schedule.
  • Select and tag plant materials for conformance to specifications at place of growth.
  • Review and approve samples of materials specified in Consultant’s construction documents.
  • Respond to request for clarifications.
  • Observe paving layouts and quality of workmanship of paving materials.
  • Observe layout and installation of irrigation systems and specified coverage tests.
  • Observe location and quality of plant material and landscape grading.
  • Conduct a substantial completion punchlist.
  • Inspect and establish a 90-day establishment period. At the end of the 90-day establishment period, DPS shall conduct a final inspection and, upon finding the project acceptable, DPS will recommend acceptance of the landscape installation to the Client.
  • DPS will endeavor to secure compliance by the Contractor to the plans and specifications. DPS will not be responsible, however, for construction means, methods, techniques, sequences or procedures in connection with the work. DPS will not be responsible for the Contractor's errors or omissions or failure to carry out the work in accordance with the contract documents.

Task Seven: Landscape Guidelines and Maintenance Specifications

DPS will provide a program for professional landscape maintenance. DPS’ services will be provided in a phased program to include:

  • Maintenance Specifications, and
  • Maintenance Evaluations and Recommendations

Maintenance Specifications

DPS will prepare illustrations and technical specifications for use as a bidding and contract document for landscape maintenance. This document will describe the following:

  • The scope of work including special conditions and requirements for the site.
  • Maintenance objectives.
  • Description of maintenance tasks and standards for materials to be used by maintenance personnel.
  • Irrigation requirements and irrigation system maintenance procedures.

Maintenance Evaluations and Recommendations

DPS will make visits to the site and observe and evaluate landscape maintenance operations in accordance with DPS’ Maintenance Specifications. On the basis of observations at the site, DPS will keep the Client informed of the condition of the landscape and the progress of maintenance performance. DPS may recommend the need for additional maintenance tasks based on specific site conditions or may recommend the rejection of work to the Client if there is failure to conform to the contract documents.

DPS will:

  • Meet with potential maintenance contractors to discuss the scope of work prior to their submitting bids.
  • Evaluate the landscape maintenance bids and advise the Client.
  • Perform a landscape maintenance walk-through with the selected maintenance contractor prior to beginning maintenance work.
  • Perform site evaluations over a twenty-four month period commencing three weeks after final acceptance of the landscape by the Client. During these visits, DPS will evaluate and recommend appropriate maintenance practices. DPS will also make recommendations to the Client concerning the general condition of the landscape and compliance with maintenance specifications.

DPS will endeavor to secure compliance by the Contractor to landscape maintenance recommendations. DPS will not be responsible for the contractor's errors or omissions or failure to carry out the work in accordance with the contract documents.
